Privacy Policy
This policy explains what AG-ID collects, why, and the control you have over it. The short version: your farm records belong to your farm business, we never sell your data, and you can export or delete it.
1. Who we are and what this policy covers
AG-ID (Agriculture In Depth) is an Australian farm record-keeping platform. This policy explains how we collect, use, store and disclose personal information when you use the AG-ID website and app. It applies to account holders (farmers and agronomists) and to invited users such as workmen. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
2. Information we collect
We collect: account details (name, email address, phone number, business name); farm and paddock records you enter (activities, chemical and fertiliser use, livestock, machinery, rainfall, financial entries); location data you choose to capture (GPS coordinates on logs, pins and paddock boundaries); photos and documents you upload (labels, invoices, feed tests, contracts); device and usage information (device type, browser, app version, pages visited, crash logs); and billing details processed by our payments provider (we never see or store full card numbers).
3. Farm records belong to the farm business
Farm records entered into AG-ID belong to the farm business that created them, not to us and not to the individual user who typed them in. Agronomists and workmen access farm records only because the farm business granted them access, and that access can be revoked at any time. We treat all farm records as confidential and do not access them except as needed to operate, secure or support the service, or where required by law.
4. How we use your information
We use your information to: provide and operate the service (syncing records, mapping, calculations, compliance exports); authenticate you and keep your account secure; process subscriptions and payments; send service notifications (recommendations, work orders, photo reviews, alerts); improve the app using aggregated, de-identified usage patterns; and meet legal obligations. We do not sell your personal information or identifiable farm data to anyone, and we do not use your records for advertising.
5. Aggregated and anonymised data
We may use anonymised, aggregated data — for example district-level price benchmarks or yield trends — that cannot reasonably identify you or your farm. This helps us build features like market price guides. We never publish benchmarks in a way that could identify an individual farm.
6. Third-party services we use
To run AG-ID we use trusted third-party providers: cloud hosting and database infrastructure, authentication (including optional Google sign-in), a payments provider for subscriptions, an AI provider that reads photos of labels, invoices and feed tests at your request, mapping tile providers, and an email service for invitations and notifications. These providers process data only as needed to deliver their part of the service and are bound by their own privacy and security obligations. Some of these providers store or process data outside Australia.
7. AI processing of your photos
When you use a scan feature, the photo you choose is sent to an AI provider solely to extract the information you asked for (such as a chemical label or invoice). The extracted values are returned to your account for you to check and confirm. Photos are not used to train AI models. You can always choose to enter the same information manually.
8. Offline storage on your device
AG-ID works offline by storing records on your device until they can sync. Anyone with access to your unlocked device could see that locally stored data, so keep your device locked and secure. Clearing browser data or resetting a device permanently removes records that have not yet synced.
9. How we protect your information
We protect data with encryption in transit, row-level security that isolates each farm business's records, role-based access so workmen and agronomists only see what they need, and audit-capable permission controls. No system is perfectly secure; if we become aware of a data breach likely to cause serious harm, we will notify affected users and the Office of the Australian Information Commissioner as required by law.
10. How long we keep your data
We keep your records while your account is active. When a subscription ends, records are retained in read-only form for 90 days so you can export them, after which they may be deleted. We may retain minimal billing and audit records where required by law. Backups are retained for a limited period for disaster recovery and then overwritten.
11. Your rights and choices
You can access and correct your account details in Settings at any time. Farm owners can export their records using the in-app export tools. You may request access to, or correction of, personal information we hold about you, and you may request deletion of your account — contact us through the Contact page. You can disable location capture by not using GPS features, and you can withdraw an agronomist's or workman's access at any time from the Team screen.
12. Cookies and similar technologies
We use a small number of cookies and browser storage to keep you signed in, remember your preferences and allow offline operation. We do not use third-party advertising trackers.
13. Children
AG-ID is a business tool and is not directed at children under 16. We do not knowingly collect personal information from children.
14. Changes to this policy
We may update this policy from time to time. If we make a material change, we will notify you in the app or by email before it takes effect. The current version is always available on this page.
15. Contact and complaints
Questions, access requests or privacy complaints can be sent through the Contact page. We will respond within a reasonable time. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
